The agreement between your clinic and Flowmedix.
Agreement
By creating a Loyalty Flow account, you agree to these terms on behalf of yourself and your clinic. Loyalty Flow is operated by Flowmedix, LLC, a Delaware limited liability company. If you are signing up on behalf of a clinic, you confirm you have authority to bind that clinic to this agreement.
Subscription
Loyalty Flow is sold as a monthly subscription on either the Solo or Studio tier. Subscriptions auto-renew until cancelled. Cancellation takes effect at the end of the current billing period. We do not refund partial months.
Founder pricing
If your clinic was admitted to the founding cohort, the price you signed at is locked for the lifetime of your subscription as long as your account remains in good standing. Cancelling your subscription forfeits founder pricing on re-signup.
Patient data
Your patient data is yours. We do not sell it, share it, or use it to train models without your explicit configuration. You can export it at any time on the Studio tier. We retain points-ledger records as long as you have an active subscription, plus a 30-day grace period after cancellation, after which we permanently delete.
Payment processors
Loyalty Flow does not take any percentage of money your patients pay you. Patient payments flow through your selected processor, currently Stripe or Payroc / Worldnet, subject to that provider's standard fees. Flowmedix charges only the platform subscription and any explicitly purchased add-ons.
Acceptable use
You agree not to use Loyalty Flow to send spam, run promotions for products you don't have rights to sell, store regulated health information (PHI) outside the loyalty scope of the platform, or violate the rights of your patients. We reserve the right to suspend accounts that materially violate this section.
SMS messaging
By providing your mobile number and opting in during account creation, you consent to receive SMS messages from your enrolled clinic via the Loyalty Flow platform. These messages may include loyalty reward availability alerts, points balance updates, appointment-related notifications, and promotional offers from the clinic. Average frequency is 2 to 4 messages per month. Message and data rates may apply. You may opt out at any time by replying STOP to any message, or reply HELP for assistance. Neither Flowmedix, LLC nor your wireless carrier is liable for delayed or undelivered messages. Mobile phone numbers and SMS opt-in records are not shared with third parties for marketing purposes.
Service level
We aim for 99.9% uptime on the production platform. We do not currently offer a contractual SLA. If a sustained outage materially affects your clinic's operations, contact us — we will work in good faith to make it right.
Limitation of liability
Our total liability under this agreement is capped at the amount you paid Flowmedix in the 12 months preceding the claim. We are not liable for indirect, consequential, or punitive damages. This section does not limit liability for fraud, willful misconduct, or anything else that cannot be limited by law.
Changes
We may update these terms with at least 14 days' notice via email to your clinic's primary contact. Continued use after the effective date constitutes acceptance.
Governing law
Delaware. Any dispute will be resolved in the state or federal courts located in Delaware.
