How Loyalty Flow works.

Loyalty Flow puts your clinic's full menu, points, and memberships inside a branded app on your patients' phones. Patients join at the front desk, earn points automatically at checkout, and get pulled back mid-week by push notifications and member-only drops. You pay one flat monthly fee — never a percentage of what your patients spend.

Built by a nurse practitioner for his own front desk. Running every day at the founder's clinic in Sioux City, Iowa.
STEP 01

A patient joins

There are three doors in, and none of them slow down your front desk. The fastest is a QR code at the desk: the patient scans it while they're checking out and lands inside your clinic's app. App people can grab the branded app from the App Store or Google Play instead.

And the patient who never downloads anything? They join through the web app with a magic link — tap the link in their email and they're in. No download, no password, nothing to remember. Every patient gets the door that matches how they actually use a phone.

STEP 02

Your clinic lives in their pocket

When a patient opens the app, they see your clinic — your name, your look, your full service menu. Not a generic rewards wallet with your logo squeezed into a corner.

They also see their points balance, their tier, the rewards they can claim, and a digital membership card if they're on one of your memberships. Everything a patient would otherwise have to call and ask about is one tap away — which means your menu is working on them between visits, not just during them.

Tour the whole patient experience on the patient app page.

STEP 03

Checkout awards the points

At checkout, your front desk types two letters of the patient's name, taps the member, and charges the card — Stripe or Payroc. Points land on the patient's balance before they sign out. They watch the number go up while they're still standing at the desk, and that moment is the habit-former.

On Studio, Stripe Terminal runs the card right inside the POS. On Solo, POS Lite handles member lookup and manual checkout alongside the terminal you already own. Payroc clinics can take QR and saved-card payments. Either way: no punch cards, no end-of-day spreadsheet, no "did we log her points?"

See the checkout flow on the POS page.

STEP 04

What pulls them back

This is the part most loyalty programs never get to, because email is their only channel. Email open rates in this category run roughly 12%. Push notifications run 60–80%. Same offer, different channel, completely different outcome.

The heaviest tool is the flash drop: a member-exclusive offer with a real redemption window and a live spot counter. The format the founder runs at his own clinic — Sunday-evening push, Tuesday redemption window, 12-treatment cap, member-only. Since drops started running weekly, the average Tuesday there is up roughly 38% on a same-month basis. That's one clinic, not a market study — but the mechanism is one any operator can run.

Referrals and gift cards round it out: members send friends from inside the app, and gift cards put your clinic in the hands of people who've never walked in.

STEP 05

What the owner sees

You run all of it from the admin portal: points ledger, tiers, rewards catalog, drops, memberships, gift cards. The no-code App Builder lets you brand and edit the patient app yourself — no developer, no app-store submission, no waiting on anyone.

On Studio, you also get the numbers: cohort analytics that show whether members actually come back more often, clinic insights, and Sage — the AI advisor that reads your data and suggests the next move. Plus scheduler and marketing-automation sync, and an API with webhooks if you want the data flowing somewhere else.

See the owner's side on the clinic admin page.

WHAT IT COSTS

One flat number. Never a percentage.

Solo is $299 a month: single location, up to 500 members, one flash drop a week, 500 texts a month, Stripe or Payroc. Studio is $599 a month: multi-location, unlimited members and drops, the Sage AI advisor, Stripe Terminal POS, cohort analytics, 2,000 texts a month, priority Slack support. White-glove setup is a one-time $499 and optional — we import your members, configure your tiers, and design your patient-app hero.

That's the whole bill. Zero percentage of your program, membership, drop, or gift-card revenue — processor fees go to Stripe or Payroc directly. Rev-share platforms in this category commonly take 5–15% of gross, and we think a platform that charges you more because your program worked is charging you for the wrong thing.

FAQ

Questions owners actually ask.

Do patients have to download an app?
No. Patients can join through the web app with a magic-link email — no download, no password. Patients who want the full experience get the branded app from the App Store or Google Play, and the QR code at your front desk routes each patient to whichever door fits them.
Is Loyalty Flow HIPAA compliant? Do you store PHI?
Loyalty Flow stores no PHI by design — no charts, no photos, no treatment notes. It holds loyalty data only: points, tiers, rewards, memberships, gift cards. A BAA is available on request.
Which payment processors does it work with?
Stripe and Payroc. Studio clinics get Stripe Terminal built into the POS; Solo clinics use POS Lite for member lookup and manual checkout alongside the terminal they already own. Payroc clinics can take QR and saved-card payments. Processor fees go to Stripe or Payroc directly.
Can you import our existing members?
Yes. White-glove setup — $499 one-time, optional — imports your members, configures your tiers, and designs your patient-app hero. Founding clinics get it included.
How long does it take to launch?
There's no custom app build and no app-store review on your side — the patient apps are already live on both stores, and the no-code App Builder brands them to your clinic. The setup work is loading your menu, setting your tiers, and importing members. With white-glove setup we do that with you and stay on the call until your first reservation lands.
Do you take a cut of my revenue?
No. Loyalty Flow is a flat $299 or $599 a month with zero percentage of your program, membership, drop, or gift-card revenue. Rev-share platforms in this category commonly take 5–15% of gross. We took the other side of that trade on purpose: the program's upside belongs to the clinic that earned it.
Does it work across multiple locations?
Yes. The Studio plan is built for multi-location groups, with unlimited members and drops — one member list and one ledger across every location, with a per-location view for each front desk.
What happens if I cancel?
You leave with your data. Your member list, points balances, and history export cleanly — no lock-in, no hostage file formats. We'd rather keep you with a product that works than a contract that traps.
